Purpose The purpose of this procedure is to outline the process by which Wicomico County Public Schools (WCPS) will comply with COMAR 13A.03.02.08C(2) which requires submission of grade change validity audit in accordance with COMAR 13A.03.02.08B(5)(d). II. Procedural Statement This procedure is mandatory for all Teachers, School Principals, and Guidance Counselors. Grade change data will be collected from X2 by the WCPS Office of Assessment and Accountability and audited monthly as well as 45 days after each term. III. Definitions “Grade Change” – means, for the purposes of this procedure, changing an existing marking term, or final grade on a transcript. This does not include input of grades from a transfer student. IV. Report Card Grade Change In the event a report card grade requires a grade change the following steps must be taken. a. Requests for report card grade change must be submitted electronically (X2/Aspen), along with supporting documentation by the teacher of record. b. The principal will review the request and make the following determination: i. Approved – The grade will be changed by the School Principal or designee. ii. Rejected – The teacher/parent may appeal to the Director of Elementary/Secondary Education iii. Pending more information – The school principal may request more information from the teacher. c. The school principal may initiation a report card grade change in the absence of a request by the teacher of record. All report card changes must be accompanied by documentation and justification that supports the change. d. All report card changes must be made within 30 business days of the request. V. Procedure A. Grade change requested by Teacher. 1. Teacher completes the Grade Change Request Form in X2. a. The teacher completes the Grade Change field. b. The teacher completes the Grade Change Reason field. (required) c. Request is submitted to Principal.
